Treat the campaign as the operating record

A group purchase is not simply a collection of orders. It has commercial terms, participating sellers, an approved product selection, a selling window, fulfillment choices, and a financial close. When those details live in separate spreadsheets or chats, teams have to reconstruct the context every time an order changes state.

Use one campaign record as the source of truth. It should connect the catalog that was offered, the sellers who can submit demand, the pricing and dates that applied, and the downstream orders, shipments, and settlement records.

Keep the handoffs explicit

The most reliable workflow does not treat approval, payment, fulfillment, and settlement as one status. Each handoff answers a different business question and should leave an auditable record.

  • Catalog: which products and commercial terms were available?
  • Order review: is the seller-submitted demand valid and approved?
  • Payment: has the required payer confirmed or completed payment?
  • Fulfillment: which approved orders belong in each shipment batch?
  • Settlement: what does each seller, brand, or supplier ultimately owe or receive?

Use shared context to resolve exceptions faster

Exceptions are where disconnected operations usually fail. A missing address, a partial payment, or an unavailable product should be traceable to the affected order and campaign, not managed as an isolated note. That context lets an operations team decide who needs to act and whether other orders are affected.

Start each campaign with clear ownership, dates, payment rules, and shipment modes. Then make the campaign page the place the team returns to when an exception occurs.
